| Co-Chairs |
The co-chairs head the Harvard Family Association. Their main responsibilities are running the board of officer's meetings, handling member issues/concerns, setting over all strategy for the club and ensuring that everything is running smoothly. In this role, you serve as ambassador for the club. The co-chairs also put together the newsletters. This is hands-down the best way to meet the most club members! |
| Treasurer |
The treasurer is responsible for paying all bills, collecting and recording dues and reimbursing board members for expenses. |
| Secretary |
The secretary is responsible for keeping a log of all events and meetings. The notes go into the HFA notebook. |
| Publicity Coordinator |
The publicity coordinator position is responsible for the following duties: creating and posting general informational HFA flyers, recruitment postings, and HFA event flyers; contact with the local media for calendar listings; supporting other members of the board with advertising, collateral development and public relations for their events and initiatives; maintaining and distributing HFA signs, banners, balloons, etc; and updating the community activity guide which details all of the parks, pools, gyms, farms, sport complexes, arts and crafts, music/dance and other children friendly attractions. |
Membership Coordinator |
The membership coordinator is another great way to interact with both potential and current club members. Our objective is to make each person feel welcome and glad they contacted us. The responsibilities include taking inquiries, sending out new member packets, processing mail sent to the HFA post office box, forwarding dues to the treasurer, maintaining the membership database and providing roster printouts and labels as necessary. Spreadsheet experience is a big help. |
| Events Coordinator |
The events coordinator is responsible for keeping the Big Tent calendar up-to-date, sending out messages via Big Tent or email to all of the members, and keeping track of RSVPs. |
| First Connections Liaison |
The First Connections liaison position is great way to connect with people outside of the Harvard community. Responsibilities include attending the monthly First Connections meetings, which are held on Monday mornings from 9:30-11:30am in Concord, MA; and reporting the details of the meetings to the co-chairs. The information collected at the meetings is reported in the HFA newsletters. |
| Sunshine Coordinator |
The sunshine coordinator is in charge of contacting members with new babies or members going through a difficult time. This person makes sure that the member is doing well, and organizes gifts and/or meals for the members, if necessary. |
| Playgroup Coordinator |
A VERY important position since playgroups are the main reason most members join the HFA. The playgroup coordinator is responsible for reaching out to new members within the first few weeks of application to placing them in playgroups. This role may also require you to start new groups as the need arises and keeping all records of playgroups. The position offers a great way to get involved with the board and to meet many members. You will interact with the membership coordinator and be one of the first representatives welcoming new members to the club! |
| Webmaster |
The webmaster is in charge of keeping the HFA website up to date. Minimal knowledge of HTML would help, but is not mandatory. |
| Newsletter Editor |
The newsletter editor is in charge of bringing all of the newsletter pieces together in a timely fashion and making sure the newsletter flows well. The editor also checks for grammar and spelling errors. |
| Halloween Parade Coordinator |
The Halloween parade coordinator is in charge of contacting the town hall and the Congregational Church to book space for the event. Also, the coordinator contacts volunteers for each element of the parade: cookie decorating, pumpkin decorating, bean bag toss, etc. |
| Craft Hour Coordinator |
The craft hour coordinator is in charge of coming up with ideas for the monthly craft, bringing craft supplies (funded by the HFA), and helping the kids/adults during craft hour. |
| Adult Social/Parent's Nights Out Coordinator(s) |
The adult social coordinator is responsible for planning interesting (and much needed) events for parents, some events for dads to have some alone time with the kids and for couples. If you enjoy throwing parties, you have good organizational skills, and you are good at delegating, this position is for you. |
| Volunteer Coordinator(s) |
Many of our kid and community events require the help of HFA members to make the event successful. This role helps facilitate and organize HFA members to volunteer at our many events. You will work with the other officers as they ask you to arrange volunteers for specific events. From there, you would send out an email, put the request in the newsletter or call people who have indicated an interest in helping. You would link the volunteers up with the event coordinator to make sure that everyone is all set. This is a great way to get to meet everyone in the HFA membership and help the club run more efficiently. In this role, you are also acting as an “ambassador” to represent the Board to the rest of the members as well as the community. If you are a great motivator and organizer, this role is for you! |
